Privacy Policy

Fleet Manager HQ ("we," "us") provides a tool for trucking fleet managers to find repair shops and manage their fleet. This policy explains what we collect, why, and the choices you have. We keep it plain — no dark patterns.

Information we collect

  • Account data: your name, email, company/fleet name, and password (stored hashed — we never see it in plain text).
  • Fleet data you enter: home ZIP, truck types, drivers, repair tickets, favorites, notes, ratings, visit logs, uploaded documents and invoice photos.
  • Usage data: searches you run (area, radius), pages viewed, and approximate cost of each search — used to run and improve the service and to bill fairly.
  • Payment data: handled entirely by Stripe. We never receive or store your full card number.

How we use it

  • Run the app — searches, saved shops, fleet management.
  • Summarize public shop reviews using AI (see below).
  • Process your subscription and prevent abuse.
  • Respond to support requests you send us.

We do not sell your personal information, and we do not use your fleet data to train third-party AI models.

AI-generated content

Shop summaries are produced by an AI model (Anthropic Claude) from publicly available Google reviews. AI summaries can be incomplete or wrong — treat them as a starting point, not a guarantee. Only the public review text is sent for summarizing; your personal or fleet data is not.

Service providers (subprocessors)

We share the minimum necessary data with:

  • Vercel — hosting.
  • Supabase — database & authentication (data stored in the USA).
  • Stripe — payment processing.
  • Google Places — shop listings, reviews, and maps.
  • Anthropic — AI review summaries (public review text only).

Your rights

You can access, correct, export, or delete your data at any time from Settings: use Export my data for a full copy, or Delete my account to permanently erase everything. This covers the access and deletion rights under CCPA (California) and GDPR (EU/UK). You can also email us and we'll handle it within 30 days.

Data retention & security

We keep your data while your account is active. When you delete your account, we remove your personal and fleet data promptly. We use HTTPS everywhere, hashed passwords, and access controls; no method is 100% secure, but we take reasonable measures to protect your data.

Children

The service is for business use and not directed to anyone under 18.
